Most commercial building owners don't think about winter commercial cleaning until March — when they discover their entry floors have been permanently damaged and their HVAC filters are so loaded that equipment efficiency dropped all winter.
That's too late. By December 1st, the decisions you make about cleaning scope, frequency, and vendor accountability will determine whether your floors, air quality, and HVAC equipment make it to April in good shape — or require thousands of dollars in corrective work.
Here's what Colorado Front Range building owners and property managers need to know about commercial cleaning between November and March.
Why Colorado Winters Are Harsh on Commercial Buildings
Denver and Colorado Springs receive 30–60 inches of annual snowfall depending on the neighborhood. That snow gets treated with sodium chloride and calcium chloride de-icing compounds that get tracked into buildings on shoes, carts, and delivery equipment. What happens next depends on whether your cleaning program was designed for it.
The Salt Tracking Problem
Sodium chloride and calcium chloride are hygroscopic — they attract and hold moisture. When a de-icing compound gets tracked onto a VCT (vinyl composition tile) or LVP (luxury vinyl plank) floor, it doesn't just sit on the surface. It dissolves into a solution that gets pressed into the seams between tiles by foot traffic. As that solution evaporates, the salt crystals remain — and they slowly degrade the adhesive that holds the floor together.
This happens on every floor within 15 feet of every entrance, every time it snows. A building that doesn't address entry floor care from December through February will have visible seam separation, adhesive failure, and surface pitting by March. This isn't cosmetic — it violates lease compliance standards for most Class A and Class B office leases and often requires full floor replacement in the damaged areas.
The fix: daily entry floor scrub with a neutral cleaner specifically formulated to dissolve salt compounds. Standard mopping with a general-purpose cleaner doesn't work — it redistributes the salt, it doesn't dissolve it.
Low Humidity Changes How Your Building Cleans
Denver's winter relative humidity typically drops to 20–35%. At those levels, static electricity builds up on hard flooring surfaces, attracting and holding fine particulate that would normally settle and get picked up by mopping. Buildings with older HVAC systems that don't run frequently enough in low-occupancy periods see this as a dust-fuzzy appearance on VCT floors even in hallways that haven't seen foot traffic.
Your cleaning crew needs to adjust for this: HEPA-filtered vacuum on hard floors before mopping isn't optional in winter — it's the difference between a floor that looks clean and one that actually is.
HVAC Filter Loading Accelerates in Winter
Every building that has construction activity within a quarter-mile — which includes most of the I-25 corridor in Denver and the Powers Boulevard corridor in Colorado Springs — deals with elevated fine particulate in the air during winter months. Road construction doesn't stop in December. And with windows closed and HVAC running, all of that particulate gets captured by your air filters.
A 2-inch pleated filter that gets loaded with construction dust and road salt residue over a three-month winter will drop to 40–60% of its rated efficiency. Buildings with older RTU (rooftop unit) equipment that don't have pressure-sensing filter monitoring won't notice this until spring — when they discover their energy bills were 15–20% higher than usual because the system was working harder to push air through a loaded filter.
Winter filter inspection should be added to your vendor's scope between November and March. Monthly filter check (visual inspection, pressure differential reading if available) is the standard. Your cleaning crew can do this as part of their regular visit — ask for it in writing when you review your scope for winter.
Pre-December 1st Checklist for Building Owners
Before December 1st, go through this checklist with your property manager and cleaning vendor:
Entry Mat Maintenance
- Are entry mats sized correctly? A mat that's too small catches shoes on the edge and doesn't trap enough grit. Standard rule: the mat should be long enough that a person takes 4–6 steps on it before reaching the main floor. For a building with heavy foot traffic, that's at minimum 10–15 feet of mat in a direct path.
- Are mats being vacuumed between visits? A mat that's full of salt and grit doesn't trap anything — it just spreads it. Mats need vacuuming at least twice per week during winter.
- Do you have secondary mat systems inside secondary entrances? Loading docks, parking garage entries, and side doors all bring in tracked material. If they're not included in your scope, add them.
Entry Floor Care
- Has the vendor committed to salt-dissolving neutral cleaner on all entry floors? Get this in writing. If they're using a general-purpose cleaner, they're not removing salt — they're spreading it.
- What is the entry floor cleaning frequency in winter? Three times per week minimum for high-traffic entries. Daily for buildings with 200+ daily occupants.
- Are baseboard and lower-wall scuff marks being addressed? Salt compounds that splash up from entry floors cause etching on painted baseboards. Standard commercial cleaning doesn't address this unless it's specifically in scope. Request it explicitly.
HVAC and Air Quality
- Schedule a filter inspection before December 1st. If you have a buildings engineer, have them check filter loading and replace anything that's beyond 50% loaded.
- Ask your cleaning vendor to include return-air grille and diffuser dusting as a winter add-on. Fine particulate that doesn't get filtered accumulates on HVAC grilles — which becomes visible, becomes a tenant complaint, and becomes a liability when air quality testing is done for any reason.
Restroom Deep Clean Frequency
- Does your cleaning scope increase restroom service frequency in winter? Cold and flu season (November through March) requires daily restroom sanitation in buildings with more than 50 occupants. If your current scope is 3× weekly, that's insufficient for winter. Request a frequency increase — not a scope change, just a frequency bump for the season.
- Are hand soap and paper towel dispensers being checked and restocked daily? This is the single highest ROI janitorial task in winter. A tenant who can't find soap in a restroom in January is a tenant who complains to their broker.
What Your Cleaning Crew Should Be Doing Differently in Winter
If you're not getting a different scope document for winter, your vendor isn't thinking carefully enough about your building. Here's what should change between November 1 and March 31:
Entry system: mat maintenance + floor care
Entry mat vacuuming should increase from weekly to 2–3× weekly. Entry floor scrub with salt-dissolving neutral cleaner should move from weekly to 3× weekly minimum.
Hard floor care: HEPA pre-vacuum before mop
Low humidity means more static-attracted particulate on hard floors. Standard sweeping misses the fine fraction. HEPA-filtered vacuum is required for floors to actually be clean — not just visually clear.
High-touch surface disinfection: flu season protocol
Door handles, elevator buttons, handrails, reception desks, and conference room tables should receive electrostatic or wipe-down disinfection daily during flu season. This should be in your base scope — if it's not, add it for November through March.
HVAC grille and return inspection: monthly check
Have your crew note any HVAC grille buildup that could indicate filter loading problems. This takes 2 minutes and can prevent a $3,000–$5,000 filter replacement that a building engineer would have caught 4 months earlier.
The Cost of Doing Nothing
Winter damage to commercial buildings isn't always visible until spring. By the time you can see it, the repair costs are already committed. Here's what we see in buildings that skip winter commercial cleaning protocols:
- VCT seam failure: $8–$15 per square foot to replace failed tiles. A 1,000 sq ft entry area with seam failure costs $8,000–$15,000 to repair. Daily salt-dissolving cleaner prevents this entirely.
- LVP adhesive failure: $12–$20 per square foot for partial replacement. Full replacement runs $18–$30 per square foot. Not recoverable through normal cleaning.
- HVAC filter replacement: Annual filter cost in a properly maintained system is $400–$800 per RTU. A system that wasn't monitored runs $1,200–$2,400 per RTU due to accelerated loading — plus elevated energy costs that won't show up until the April bill.
- Tenant complaints about air quality and appearance: The most common lease renewal objection in Q1. Buildings with documented winter cleaning protocols have measurably lower complaint rates than buildings that skip it.
A building with 10 entry points, 50,000 sq ft of VCT, and 4 RTUs can budget approximately $2,400–$4,800 per year in additional winter cleaning costs — versus $20,000–$60,000 in corrective floor repair and equipment replacement if those costs are deferred.
What Tribute Cleaning Does Differently in Winter
